How it works

Calculate actual hours from time entries

Enter worked time

Add each employee’s clock-in, clock-out, unpaid break, and hourly rate. Overnight entries are supported.

Apply overtime rules

Choose daily overtime, weekly overtime, or both. The calculator prevents the same hour from being classified twice.

Review and export

See employee-level totals, estimated gross wages, and payroll review details. Export CSV or print to PDF.

Payroll review guidance

Use the Payroll Hours and Overtime Calculator as a Review Step

The payroll hours and overtime calculator is designed to help managers organize time entries before payroll is finalized. It can calculate payable hours from clock-in and clock-out times, subtract unpaid breaks, separate regular and overtime hours, and estimate gross wages using the hourly rate and overtime multiplier you enter.

Before approving the results, compare each entry with the employee’s actual time record, scheduled shift, approved corrections, break activity, and any premiums or special pay rules that apply. Confirm that overnight shifts, missed punches, edited entries, and unusual overtime totals have been reviewed by the appropriate manager.

Verify time records

Check that dates, clock-in times, clock-out times, and unpaid breaks match the records your business relies on. The U.S. Department of Labor provides federal recordkeeping guidance for covered employers.

Confirm overtime rules

Federal, state, local, union, and company rules may differ. Review the Department of Labor’s overtime pay guidance and apply the rules that actually cover the employee.

Review before payroll

Treat the results as a manager review aid, not a substitute for payroll policy or professional advice. Resolve missing punches, corrections, premiums, and exceptions before exporting or approving payroll.

This free payroll hours and overtime calculator works best as part of a repeatable process: collect accurate time entries, investigate exceptions, approve corrections, confirm overtime, and then move the reviewed totals into payroll.

FAQ

Payroll hours and overtime calculator FAQs

How are payable hours calculated?

The calculator subtracts unpaid break minutes from the elapsed time between clock-in and clock-out.

Does it calculate daily and weekly overtime?

Yes. You can enable either rule or both. Daily overtime is applied first, and weekly overtime applies only to remaining regular hours.

Can it calculate overnight shifts?

Yes. When the clock-out time is earlier than the clock-in time, the calculator treats the entry as ending the following day.

Can I print or save the results as a PDF?

Yes. Use the Print / Save as PDF button and select your browser’s PDF destination.

Is my payroll information uploaded?

No. The calculator runs in your browser. The information you enter is not submitted to Shiftaro.
